Company owners, admins, and back-office staff (dispatch, billing)

Owner, admin & office staff

Set up your company workspace, invite your team, configure visit requirements, and run the business side of myPoolFlow — clients, billing, inventory, and reports. Office staff use the same back-office shell as administrators, with three carve-outs: no routes/work orders, no van bucket on the inventory matrix, and no admin-pool actions (see Team & invites).

These chapters cover the back-office parts of myPoolFlow — for company owners, admins, and office staff (a free seat that can manage customers, billing, the planner, and work orders without running routes or taking inventory). If you also run a route yourself, the technician guide walks through the day-to-day field workflows you share with your crew.

  1. Getting started as a company admin

Create your workspace, name your business, and learn the main tabs you'll use every day.

  2. Account, profile, and switching companies

Keep your name, home address, email, and password current; switch between your workspace and an employer; and understand account deletion.

  3. Clients & pools

Add customers and their pools, import in bulk from CSV, export your directory, and keep contact details current.

  4. Team & invites

Invite technicians, office staff, and admins, approve join requests, change roles, and remove people who no longer work for you.

  5. Building the schedule (planner)

Assign stops to technicians across the week, reorder and optimize routes, repeat a stop on its service interval, copy a whole week forward, and let Smart plan propose a day.

  6. Visit requirements & default checklist

Decide which chemistry readings and tasks technicians must log on every visit, and tune the per-pool overrides.

  7. Service locations & pool settings

Configure per-property defaults that apply to every pool at the same address — gate code and preferred technician.

  8. Inventory, warehouses & purchasing

Track on-hand stock across warehouses and trucks, add your own custom chemicals and work-order parts, receive purchase orders against your vendors, and set technician permissions for truck inventory.

  9. Plan & billing

View your current myPoolFlow plan, see client usage, and upgrade or change tiers.

  10. Accepting card payments with Stripe

Connect your Stripe account so customers can save a card and pay invoices from the billing portal.

  11. Work orders & quotes

Build a quote, send it for customer approval, take a deposit, schedule the work onto a route, and mark it completed — the whole office side of the Quotes tab.

  12. Customer billing & invoices

Manage one client's balance, post payments, record bills, run recurring subscriptions, and walk a customer through saving a card.

  13. Email all customers (mass-mail)

Send a single branded email blast to every customer with email on file — seasonal updates, schedule notices, or pricing changes.

  14. Reports

See visit trends, mileage, chemical dosages, and estimated profit per customer and pool across your team or a single technician over any date range.

  15. Getting help & contacting support

Open a support ticket from inside the app, follow up on previous threads, and find public help links.
