myPoolFlow ("we," "us," or "our") provides software for pool service businesses to schedule routes, log visits, manage teams, and work with customer and pool information. This policy describes how we handle information when you use our website (mypoolflow.com), our web application, and our mobile apps (including the Android app package com.poolflow.poolflow_app).
Information you provide
When you or your organization uses myPoolFlow, you may provide or store content such as account credentials, names, email addresses, phone numbers, business and customer details, service addresses, pool and visit records, notes, photos attached to visits, and similar operational data. You control what you enter; we process it to provide the service you request.
Information collected through device permissions
Our mobile apps may request access to features on your device solely to support in-app functionality, consistent with platform disclosures:
- Location — used while you use the app to help with address entry and to suggest the nearest pool when logging a visit. If a technician starts a route and grants “Always” permission, the app also uses location in the background for geofence (region) monitoring, solely to detect arrival at a scheduled route stop and notify the technician. We do not continuously track or log your movements, and background location can be turned off at any time in your device settings.
- Camera — used to capture photos you choose to attach to service visits.
- Photos / media — used so you can attach existing images from your library to service visits.
- Contacts — used so you can pick an email or phone number from your address book when inviting technicians (we do not upload your full contact list unless you explicitly choose to use that flow).
- Face ID / biometrics (where available) — used only to unlock a saved sign-in session on your device, not sent to our servers as a biometric template.
How we use information
We use information to:
- Provide, operate, secure, and improve myPoolFlow;
- Authenticate users and enforce access controls;
- Sync data between your devices and our backend services so your team can collaborate;
- Communicate about the service (for example, support or important notices about your account).
Where data is processed
Data you submit through the apps is transmitted to our backend services (for example api.mypoolflow.com) and processed on infrastructure we or our subprocessors operate in order to run the product. We use reasonable technical and organizational measures designed to protect personal and business information.
Sharing of information
We do not sell your personal information. We may share information with service providers who assist us in hosting, security, analytics, email delivery, or similar functions, subject to confidentiality obligations. We may disclose information if required by law or to protect the rights, safety, and integrity of our users and the service.
Payments
Paid plans and customer billing flows are handled by third-party payment providers — primarily Stripe, Inc., and, for subscriptions purchased inside our iOS app, the Apple App Store. When you start or change a subscription we share information needed to set up billing (such as your account email, organization name, the plan you selected, and a customer identifier) with the relevant payment provider. Card numbers, bank details, and similar payment instruments are collected and stored by the payment provider — not by myPoolFlow. We receive a payment token together with limited metadata such as the brand, the last four digits, the country of issuance, and the transaction status, which we use to manage your subscription and receipts.
When your customers pay you through our work order, deposit, or auto-charge flows, those payments run through a Stripe Connect account that you own. Their card details go directly to Stripe; we receive only the metadata we need to display the payment in your account. Retention and deletion
We retain information for as long as your account or organization is active and as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. Administrators on your account may be able to delete or export certain data depending on product features; contact us for additional requests.
Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. To exercise these rights, contact us using the email below. We will respond consistent with applicable law.
Children's privacy
myPoolFlow is a business tool and is not directed at children. We do not knowingly collect personal information from children under 13 (or the age required in your jurisdiction). If you believe we have collected such information, contact us and we will take appropriate steps to delete it.
Changes to this policy
We may update this policy from time to time. We will post the updated version on this page and revise the effective date above. Where changes are material, we will provide additional notice as appropriate.
